This policy explains how Solace AI ("Solace," "we," "us," or "our") handles information when you visit our website, use a Solace chat experience, submit an inquiry, create or use a customer account, purchase a subscription or chat top-up, or communicate with our team.
1. Information we collect
- Information you provide: name, email address, company and website information, plan preferences, project requirements, support messages, and chat content.
- Account and billing information: a securely hashed form of your password, email-verification status, account and inquiry status, Stripe customer and subscription identifiers, billing dates, plan, and purchase history. Solace does not receive or store full payment-card numbers entered on Stripe-hosted pages.
- Account-security information: one-way hashes of short-lived email-verification and password-reset tokens, session identifiers, expiration times, and security-event timestamps. The original verification and reset tokens are not stored.
- Usage information: customer and session identifiers, chat counts, plan allowances, purchased chats, usage thresholds, and related account notifications.
- Technical information: information normally included with web requests, such as IP address, browser or device type, timestamps, requested pages, and security or error logs.
- Browser storage: Solace may store a session identifier, selected plan and billing preferences, and recent widget messages in your browser's local storage so the experience can work consistently.
2. How we use information
We use information to provide and secure the service, verify email ownership, authenticate and recover customer accounts, answer questions, review inquiries, process and reconcile billing, measure plan usage, send transactional account or low-usage notices, configure customer assistants, troubleshoot problems, prevent abuse, and improve the website and product.
3. AI processing and service providers
Chat content may be sent to an AI provider, including OpenAI, to generate a response. Inquiry or contact details may also be processed by hosting, email-delivery, and messaging providers used to operate the service, including Railway, Stripe, Telegram, and an SMTP email provider when those integrations are enabled. Stripe processes payment details under its own privacy terms. These providers process information for operational purposes on our behalf.
Do not submit passwords, payment-card details, health records, government identifiers, or other highly sensitive information through chat or inquiry forms.
4. When we share information
We may share information with service providers that help us operate Solace, when required by law, to protect rights or security, or as part of a business transaction. We do not sell personal information.
5. Retention
We keep information only for as long as reasonably needed for the purposes described here, including providing support, maintaining security, resolving disputes, and meeting legal obligations. Retention can vary based on the type of information and the reason it was collected. Account, billing, purchase, and security records may be retained after an account closes when reasonably necessary for legal, tax, fraud-prevention, dispute, or audit purposes.
6. Your choices and rights
You can update profile details and your password from the customer dashboard and clear Solace browser storage through your browser settings. Depending on where you live, you may also have rights to request access, correction, deletion, restriction, or a copy of personal information, or to withdraw consent. 7. Security and international processing
We use reasonable administrative and technical measures intended to protect information, but no internet service can guarantee absolute security. Service providers may process information in countries other than your own, where privacy laws may differ.
8. Children
Solace is intended for business use and is not directed to children under 18. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this policy as the service changes. The latest version and update date will be posted on this page.
